Canadian Tax Settings

Overview

If your company operates in Canada and uses a QuickBooks Online (QBO) integration, you can enable Canadian tax features in inBuild. Once enabled, tax codes and tax rates appear on invoice line items, and the system validates that every line item has a tax code before submission.

This setting is found on the General Settings page under the Tax Settings section.

The Tax Settings section only appears if your company meets both of the following conditions:

  1. Your company has at least one QuickBooks Online (QBO) integration connected.

  2. Your company has at least one Canadian office configured in Procore.

If you do not see the Tax Settings section on your General Settings page, one or both of these conditions has not been met.


What 'Enable Canadian Taxes' Controls

The Enable Canadian Taxes toggle activates tax-related features across several areas of the platform. Here is what changes when the toggle is turned on:

Inbox Line Items

When you open an invoice in the inbox and view its line items, two additional columns appear:

  • Tax Code — the QuickBooks tax code applied to the line item.

  • Tax Rate — the tax rate associated with the selected tax code.

New line items are automatically assigned a default tax code (pulled from your QuickBooks account, typically named "Tax on Purchases").

Invoice Submission Validation

When Canadian taxes are enabled, the system checks that every line item has a tax code assigned before allowing an invoice to be submitted. If any line item is missing a tax code, the submission is blocked until the missing tax codes are filled in.

Accounting Integrations Page

On the Accounting Integrations settings page, additional tax mapping configuration sections become visible. These allow you to control how Canadian taxes are mapped and synced to QuickBooks Online.

When the toggle is turned off, all of the above features are hidden. Tax code columns do not appear on line items, no tax validation occurs during submission, and tax mapping sections are hidden on the Accounting Integrations page.


Enabling Canadian Taxes

Only company admins can change this setting. Non-admin users can view the current state of the toggle but cannot modify it.

  1. Navigate to SettingsGeneral.

  2. Locate the Tax Settings section.

  3. Toggle Enable Canadian Taxes to the on position.

The change takes effect immediately. Tax code and tax rate columns will now appear on invoice line items in the inbox, and tax validation will be enforced during invoice submission.

Once enabled, any invoice submitted going forward must have a tax code on every line item. Make sure your team is aware of this requirement before turning the feature on to avoid blocked submissions.


Disabling Canadian Taxes

  1. Navigate to SettingsGeneral.

  2. Locate the Tax Settings section.

  3. Toggle Enable Canadian Taxes to the off position.

Tax code columns will be hidden from line items, tax validation will no longer be enforced during invoice submission, and tax mapping sections will be removed from the Accounting Integrations page.


Frequently Asked Questions

Why don't I see the Tax Settings section on my General Settings page?

The Tax Settings section only appears when your company has both a QuickBooks Online integration connected and at least one Canadian office set up in Procore. If either of these is missing, the section will not be displayed. Check your integrations and your Procore office list to confirm both conditions are met.

What is the default tax code assigned to new line items?

When Canadian taxes are enabled, inBuild automatically assigns a default tax code to new line items. The system looks for a tax code named "Tax on Purchases" in your connected QuickBooks Online account. You can change the tax code on any line item to a different value from the dropdown.

Can I submit an invoice without tax codes on line items?

No. When Canadian taxes are enabled, every line item on an invoice must have a tax code assigned before submission. If any line item is missing a tax code, the system will block the submission until the issue is resolved.

I'm not a company admin — can I enable this setting?

No. Only company admins can enable or disable the Enable Canadian Taxes toggle. If you need this setting changed, contact a company admin on your team.

Does this setting work with QuickBooks Desktop (QBD)?

No. The Canadian tax features require a QuickBooks Online (QBO) integration. The Tax Settings section will not appear if your company only uses QuickBooks Desktop.
