Inbox Invoice Overview

Easily track uploaded invoices with project, vendor, and amount details at a glance.

Quickly review and manage uploaded invoices, including vendor details, project references, uploader identity, timestamps, and amounts — all in one organized inbox view.

The Inbox view allows users to quickly monitor and review uploaded invoices associated with various projects and vendors. It provides a snapshot of critical invoice information in an organized, chronological format.

📤 Uploading a File

When submitting an invoice:

  • Drag and drop the invoice file into the upload area, or click Browse files to select a file from your device.

  • Maximum supported file size: 1000 MB.

  • Successfully submitted files will appear in the Inbox Panel in real-time.

🗂 Inbox Panel

Uploaded invoices appear in the Inbox tab (located in the left-hand navigation). Invoices are listed in reverse chronological order, with the most recent uploads displayed at the top.

📄 Invoice Card Details

Each invoice card includes the following information:

  1. Vendor Name

    • Shown in bold (e.g., Western Waterproofing).

    • Identifies the company submitting the invoice.

  2. Project Reference

    • Located below the vendor name (e.g., 3 - Allendale Capex Program).

    • Links the invoice to a property, program, or job number.

  3. Uploader Information

    • Displays an avatar (initials) and full name of the uploader.

  4. Upload Status

    • Shows a status label (e.g., Uploaded) confirming the file has been received.

  5. Timestamp

    • Displayed in the top-right corner of the card (e.g., 04/25/25, 2:52 PM).

    • Indicates the exact time the invoice was submitted.

  6. Invoice Amount

    • Shown as a bold dollar value (e.g., $250.00).

    • Reflects the total submitted amount for the invoice.

🛠 Icons and Actions

  • Filters

    Located at the top-right of the Inbox panel, filters allow you to sort invoices by:

    • Vendor

    • Uploader

    • Date

    • Amount

  • Upload Document

    Also in the top-right corner, this button provides quick access to the upload interface.

Upload Invoice

  • Drag and drop your invoice or click “Browse files” to upload from your device. Maximum file size: 1000 MB.

Use Cases

  • Finance Teams can verify invoice totals and uploader identity before approval.

  • Project Managers can cross-check invoice submissions against project codes.

  • Accounts Payable can track submission dates and amounts for reconciliation.

Tips

  • Click on any invoice card to view full invoice details or approve/reject submissions.

  • Use the search or filter functions to narrow results by project name or amount.
