📥 Invoice Details & Submission
Before submitting for approval or syncing, review invoice metadata like vendor name, date, and amount, and link any related documents for accuracy.
🧾 Details Section
This section shows key invoice metadata extracted or entered for review:
Field | Description |
Vendor | The company that issued the invoice (e.g., 84 Lumber Company). |
Invoice Number | Unique invoice identifier (e.g., 2717-912114). |
Invoice Date | The date listed on the invoice (e.g., April 15th, 2025). |
Uploader | Shows whether the invoice was uploaded manually or by inBuild’s AI. |
Total Amount | The total dollar amount on the invoice. |
| Total amount calculated from all line items in the "This Period" column. This represents the total value being invoiced. |
Approved Amount | Amount reviewed or approved—can match the invoice total or differ slightly. |
| AI-predicted total amount based on the invoice document. This number is used as a general guideline for the total amount of the invoice. If the totals do not match, you can still sync this invoice, but we will warn you. |

📦 Linked Invoices
This section links the invoice to a specific project and cost tracking data:
Project Name: (e.g., The Waters at Crestview)
Invoice ID: (e.g., 2717-912114)
Invoice Type: (e.g., Subcontractor Invoice)
Purchase Order: (e.g., CREST-248 - BD2)
Click the external link icon next to the Purchase Order to open full PO details in Procore.
➕ Add More Invoices
Click + Add Invoice to include additional invoice records under the same entry.
✅ Submit the Invoice
Once all invoice data is reviewed and linked, click Submit to complete the process.
Submitting may trigger workflows such as routing for approval, syncing with Procore, or archiving for accounting.
💬 Activity & Comments
Keep track of invoice-related conversations, status updates, and internal notes in the Activity panel.
💡 Key Features
Mentions: Use
@to tag team members and direct comments to the right person (e.g.,@Ben Harris).Timestamps: Every message is time-stamped for clear visibility into when actions or comments occurred.
Audit Trail: All activity is logged to maintain a record of communication for that invoice.
Email/In-App Notification: A notification will be sent to the user that you
@in their notifications in-app as well as an email will be sent to the user.
