Accounts Payable Report

Overview
The Accounts Payable report gives you one place to review subcontractor invoices and direct costs across inBuild and Procore.
The report includes:
Payables managed in inBuild
Eligible payables found in Procore
Approval and assignment information
Procore and QuickBooks sync statuses
Attached invoice documents
The Accounts Payable report is an operational report. It is not a QuickBooks accounts-payable ledger or an aging report, and it does not display an aggregate dollar total.
Who can access the report?
Company administrators can access reporting by default.
Managers can access the report when Allow non-admins to see reporting is enabled in the company settings. Users with the Viewer role cannot access reporting.
To open the report:
Open the Reporting section in the navigation.
Select Accounts Payable.
If you do not see the Reporting section, contact a company administrator to confirm your role and reporting permissions.
Finding invoices
Search by invoice number, vendor, project, or amount. Open Filters for more, including source, approval state, assignee, vendor, project, sync status, invoice type, age, amount discrepancies, and date range. Active filters appear under Filtered by, where you can remove them one at a time or clear them all.
Select any date column header to sort by it, and again to flip the direction. Use the columns control to show, hide, reorder, or resize columns. Your layout is saved for you.
Select an invoice number to open the payable. The Actions menu can also take you to it in inBuild, Procore, or QuickBooks.
Exporting
PDFs
Check the payables you want and select Export PDFs. Only payables with an attached document can be exported, and each export tops out at 50 invoices. You'll get a PDF or a ZIP depending on what you selected.
CSV
Select Export CSV to download the report. If you've checked specific payables you get just those, otherwise you get everything matching your filters. Pick your columns in the export dialog and they'll be saved for next time. Adding a per-line column like cost code switches the export to one row per line item, so a payable with five lines lands on five rows.
Frequently Asked Questions
Why can’t I select a payable for PDF export?
The payable does not have an attached invoice document. Add or sync an attachment before attempting the export.
Why don’t I see approval or QuickBooks information?
These fields require an inBuild payable and the corresponding company feature or integration. Procore-only payables may not have approval, assignment, or QuickBooks information.
Why don’t I see a total dollar amount?
The Accounts Payable report displays individual payable amounts and the number of matching payables. It does not currently calculate a report-level subtotal or grand total.
