Payables by Project Report
Last updated: August 4, 2026
Overview
The Payables by Project report shows your Subcontractor Invoices and Direct Costs grouped by Procore project, so you can see where your payable volume is concentrated. It pulls from both inBuild and Procore. If a payable exists in both, it only shows up once.
Company admins have access by default. Managers need Allow non-admins to see reporting turned on under Settings → General → Reporting. Viewers can't access reporting.
Reporting Function
Three cards at the top: number of projects, total invoice count, and total dollar amount.
Total Invoices counts both Subcontractor Invoices and Direct Costs together.
Projects are sorted by Total Amount, highest first. Click any column header to re-sort. A dash means zero.
Payables with no project land in a No project assigned row, which still counts toward the summary cards.
Filtering the Report
Click Filters to narrow by invoice type, vendor, source, or Procore sync status. Active filters show under "Filtered by." Click one to remove it, or Clear all to reset.
Two things worth knowing:
Sync status only applies to inBuild payables. It describes the sync from inBuild to Procore, so choosing Procore as your source disables it.
Date Range needs a date field. Pick which date it looks at using the "Sort by date column" dropdown (Billing, Submitted, Due, or Created). It defaults to Billing Date. The name is misleading, it does not sort the table.
Drilling into a Project
Click a project row to expand it and see individual payables with invoice number, vendor, type, amount, dates, and status. You can have several projects open at once. The list shows 50 at a time and is ordered by due date, newest first.
Click the external-link icon to open a payable in inBuild. Procore-only payables won't have this link yet.
If the project has billing periods, a Billing Period selector appears. Selecting one filters just that project row and its payable list. It doesn't touch the summary cards, other projects, the footer, or your CSV export, and it clears on page reload.
Export CSV downloads the project summary table using your current filters and sort order. It's summary rows only, no individual payables and no billing-period selections.
Frequently Asked Questions
Why did selecting a sync status remove Procore-only payables?
Procore Sync Status describes the sync from inBuild to Procore. It therefore applies only to payables represented in inBuild.
Why didn’t my billing-period filter change the summary cards?
Billing Period filters apply only to the expanded project where they were selected. The summary cards continue to represent all project rows using the report-level filters.
Why doesn't the CSV contain invoice details
The CSV exports the project summary table. Expanded payable details and project-specific Billing Period selections are not included.
