Analytics Report

Overview

The Analytics report shows you how your invoices are moving through inBuild and how accurate our AI was on each one.

Go to Reporting in the left navigation and select Analytics.

Company admins can see reporting automatically. Managers can see it once an admin turns on Allow non-admins to see reporting in Settings → General → Reporting. Viewers can't access reporting at all.

If you don't see Reporting in the navigation, ask a company admin to check your role.

What shows up in the report

The report covers invoices that were processed in inBuild and made it all the way to Procore. For an invoice to appear, it needs to:

  • Have at least one active payable

  • Have all of its active payables synced

  • Have started in inBuild, not in Procore

  • Fall inside the filters and date range you have selected

When you first open the report it shows the last four months. Change or clear the date range to look at a different period.

Filtering

Three filters at the top control the whole report: Vendor, Project, and Date Range. Changing any of them updates everything below, including the metrics, match scores, charts, and table.

Date Range works off the date the document was received, and both the start and end dates are included.

There's also a Filter by Invoice Number box above the table. It isn't case sensitive and partial numbers work, so typing "1042" will find "INV-1042-B". This one only filters the table and the CSV export. The metrics and charts above it stay the same.

One thing that trips people up: the report uses different dates in different places. Date Range filters by received date, the charts group invoices by when they landed in your inbox, and the table shows Creation Date. So a Creation Date in the table can sit slightly outside the range you picked. That's expected.


The numbers at the top

Perfectly Hydrated Documents

  • The percentage of synced documents where the AI got all five match scores exactly right. This is the closest thing to a single "how well is this working" number. Direct Costs don't have a commitment score, so they can't currently count as perfectly hydrated.

Documents Synced

  • How many documents finished syncing in the period. This counts documents, not payables or lines.

Documents Archived Before Syncing

  • How many documents were archived before they synced. Usually duplicates, invalid invoices, or things you decided not to send over.

Total Volume Processed

  • The total dollar value of the invoices in the report. For subcontractor invoices that's work completed this period, minus retainage held, plus retainage released. For direct costs it's the total of the line amounts.

Average Total Amount Error (WMAPE)

  • How far the AI's first guess at the invoice total was from the amount you actually synced. Lower is better here, because it's measuring error, not accuracy. Bigger invoices count more toward this number than small ones. If it reads 0%, that means either the predictions were spot on or nothing in the period qualified for the calculation.

Mean Processing Time

  • The average time from when a document hits your inBuild inbox to when its payables finish processing. A few unusually slow invoices can pull this up.

Median Processing Time

  • The middle result once every invoice is lined up fastest to slowest. This is the better number to look at if you want to know what a typical invoice looks like.


Frequently Asked Questions

Why did searching an invoice number not change the metrics?

That search only affects the table and the CSV. Use Vendor, Project, or Date Range to change the whole report.

Why is a match score is blank?

Either the field doesn't apply to that invoice type, like Commitment ID on a direct cost, or scoring hasn't finished yet. Scoring runs in the background after a sync, so check back in a few minutes.
