Transactions

The Transactions page is where you can view and manage all company transactions.

  • Admins can view all transactions across the company.

  • Managers can view transactions for the accounts they’re assigned to.

If a transaction has one or more receipts attached, a file icon will appear in the Receipts column on the far right. Click the icon to view the attached receipt(s).


Filtering and Sorting

You can filter transactions by account, receipt status, or cardholder (admin only) using the filter dropdown.

To sort transactions by date or amount, click the respective column headers.


Attaching Receipts

You can attach a receipt to a transaction in two ways:

  1. Link to an existing document

  2. Upload a new document directly


Linking to an Existing Document

  1. Hover over the transaction row and click the ➕ icon in the Receipts column.

  2. This opens the Transaction Linking modal, which shows a list of documents already in inBuild.

  3. The list is automatically filtered by a date and amount range near the transaction’s values. You can adjust these filters if needed.

  4. Click on any document preview to expand it.

  5. Select the desired document and click Select Receipt to link it to the transaction.

To add another receipt to a transaction that already has one:

  • Click the file icon in the Receipts column.

  • Click Add Another Receipt and follow the same steps above.


Uploading a New Document

You can upload a new receipt in either of the following ways:

  1. Drag and drop the file directly onto the transaction row.

  2. Open the Transaction Linking modal and click the file upload icon next to the filters.


Archiving Transactions

Archiving a transaction stops cardholders from receiving receipt reminder notifications for that transaction.

To archive one or more transactions:

  1. Select the transaction(s) using the checkbox on the left side of the row.

  2. Click Archive Transaction (located above the table on the right), or press the A key.

To view archived transactions:

  • Click the hamburger menu in the top-right corner and select Archive.

To unarchive:

  1. From the Archive view, select the transaction(s).

  2. Click Unarchive Transaction, or press the U key.


Changing Subaccount (Admin Only)

Admins can manually change the subaccount for a transaction using the Subaccount dropdown in the transaction row.

  • ⚠️ This should only be done in rare cases where the transaction lacks sufficient information to automatically identify the correct subaccount.
