Manager learning path

Follow this path if you manage documents in the Inbox. Processors commonly review invoices, commitments, direct QuickBooks bills, or transaction receipts.

Learn these topics in order

  1. The document lifecycle. Understand how work moves from receipt and AI analysis through review, approval, synchronization, and tracking.

  2. Learn the Inbox. Practice opening documents, searching, filtering, using presets, and reviewing Details and Activity.

  1. Review a document. Verify its type, vendor, project, number, date, amount, and assignee.

  2. Review line items. Correct descriptions, amounts, project coding, accounts, and other required values.

Follow this path if you approve or dispute documents. A reviewer may have limited editing access and still be responsible for an approval decision.

Learn these topics in order

  1. Understand the document being reviewed. Learn how to read its source document, details, line items, and connected project or accounting information.

  2. Understand the approval workflow. Learn how sequential tiers and ANY or ALL reviewer requirements control progress.

  3. Review your assigned work. Find documents waiting for your decision and confirm the amount, vendor, project, coding, and supporting document.

  4. Approve a document. Submit your approval when the document is accurate and complete.

  5. Dispute a document. Add a clear reason when a correction or clarification is required.

  6. Track the decision. Use Activity to review approval events, notes, mentions, and later changes.

If you can review a document but cannot edit its details or line items, send the required correction through the dispute reason, a note, or your team’s established process.


Administrator learning path

Follow this path if you are responsible for launching, configuring, or governing your company’s inBuild workspace.

Learn these topics in order

  1. Understand every enabled workflow. Identify whether your company uses Procore invoices, commitments, QuickBooks Online, QuickBooks Desktop, cards and accounts, or a combination.

  2. Complete company onboarding. Install inBuild in Procore and choose the document types your company will process.

  3. Connect document intake. Configure the shared email account and verify that expected documents reach inBuild.

  4. Manage members and access. Assign company roles, workflow-specific access, and All Mail Access when required.

  5. Configure processing defaults. Review invoice, commitment, document, line-item, AI, and active-project settings.

  6. Configure approvals. Build the required invoice or accounting approval tiers and test reviewer resolution.

  7. Connect accounting. Complete the QBO or QBD setup and verify vendor, project, line-item, account, and payment mappings.

  9. Monitor and improve. Use reporting, activity history, failed-sync views, and team feedback to maintain the workflow.

Understand access in inBuild

inBuild uses several layers of access. Your effective permissions can depend on all of them.

Admin, Manager, or Viewer establishes your general level of access.

Workflow-specific role

Invoicing and Commitments access can inherit your company role or be set separately to Admin, Manager, Viewer, or No access.

Reviewer assignment

Being selected in an approval workflow allows you to complete the assigned review when it is your turn.

Additional access

Settings such as All Mail Access and company reporting permissions can expose additional pages.

Enabled features

Company settings and connected integrations determine whether workflows such as commitments, direct QuickBooks bills, transactions, and reporting appear.


Frequently Asked Questions

How do I know my role?

Ask a company administrator to confirm your company role and any separate Invoicing or Commitments access assigned to you.

Can a Viewer approve a document?

A member assigned as a reviewer can complete the approval decision when the workflow reaches that reviewer, even if the member cannot edit the document’s content.

Why can another Manager see a page that I cannot?

Workflow-specific access, reviewer assignments, reporting permissions, All Mail Access, enabled features, and connected integrations can differ between members.

Do administrators need to learn the processor workflow?

Yes. Administrators should complete at least one representative document from intake through synchronization before configuring the workflow for the wider team.

What should I learn if I have several responsibilities?

Complete the path for the work you perform most often. Then add the approval, administration, reporting, or specialized workflow lessons that apply to your secondary responsibilities.
